This notice explains how AdHoc Services Ltd, trading as HeatMason, uses personal information in connection with enquiries, project work and this website.

Information connected with your enquiry or project
When you contact us, the information may include your name, contact details, postcode, the type of work you are considering and the message you send. You may later provide a property address, plans, photographs, equipment details, access arrangements or correspondence needed to assess and deliver the work.
Please do not include information about health, identity documents, financial accounts or other sensitive matters unless we specifically explain why it is necessary. If an architect or another representative contacts us on your behalf, their message may contain information about you and the property.
Why we use information
We use relevant enquiry details to respond and take steps you request before a potential contract. Information needed to organise and perform agreed work is used for that contract. We keep records necessary for legal obligations, including applicable financial record-keeping.
Other uses, such as handling professional contacts, protecting our systems and dealing with complaints or claims, may rely on legitimate interests where those interests are not overridden by your rights.
Providing enquiry information is voluntary. Without contact details and enough information about the requested work, we may be unable to respond or assess the request. Amir reviews enquiries personally; an automated form response does not decide whether we take on a project.
Processing outside the UK
How long information is kept
The retention decision depends on why a record is needed: dealing with an enquiry, delivering and supporting agreed work, meeting financial or other legal requirements, and handling a complaint or potential claim. Records should be removed or anonymised when the relevant purpose no longer justifies keeping them.
Website information and cookies
The website’s hosting and security services may receive technical information such as an IP address, request time and browser details to deliver and protect the site.
Optional third-party content or links, including WhatsApp, may bring you into another provider’s service. Their notices apply to their own processing. Do not activate embedded maps, video, advertising or other tracking without first updating this notice and implementing any required controls.
Your rights
Depending on the circumstances, you can ask to access or correct personal information, request erasure or restriction, or receive certain information in a portable format. Where consent is used, you can withdraw it; that does not undo processing already carried out lawfully.
You have the right to object to processing based on legitimate interests, subject to the applicable conditions, and to direct marketing. Contact hello@heatmason.com to raise a request or objection. We may need to verify identity before acting.
You can also complain to the Information Commissioner’s Office. You do not have to wait for permission from HeatMason to contact the ICO.
